Welcome back to the eighth part of the SAP S/4HANA Cloud use case series. Last week we examined another financial use case in the manufacturing area. In this use case we will take a look at the Integration of SAP JAM to the SAP S/4HANA Professional Services Cloud and the advantages that come with it.

Integration in the SAP S/4HANA Professional Services Cloud

It is one important factor for the SAP S/4HANA Professional Services Cloud to integrate smoothly with other SAP and third party solutions. In order to enable a best of breed approach for our customers and give them the opportunity to assemble the best solutions for their business. Of course we facilitate the ongoing improvement of integration possibilities with SAP S/4HANA Cloud. In the latest release 1702 the financial integration to the travel and expense solution, SAP Concur, was enabled, which exports cost objects, such as cost center, internal orders and project WBS elements (Work Breakdown Structure, describes the individual tasks and activities in the project) and imports expense reports. With this integration project managers get an end-to-end, timely visibility into spending, from pre-trip plans to final settlement of payments, which leads to processing expenses quickly for faster payments. The integration use case we will analyze today is with the collaboration platform SAP JAM.

The collaboration platform

The digital transformation changes the way we live and work every day. It changes how we communicate and collaborate. Digital transformation is not just about technology but also about people. The collaboration platform SAP JAM adds the human element to the digital revolution. It delivers secure social collaboration where you work – inside your applications, on your mobile device, or in SAP JAM Collaboration itself. This bring many benefits to the table like breaking down barriers between teams, eliminating information silos, and bringing social tools into any business process. It facilitates structured collaboration from brainstorming over problem solving, to decision making with tools for pro/con analysis, forums, ranking, and more. Furthermore, social networking with customers, partners, vendors and suppliers is made easy by connecting and communicating through groups, feeds, discussions and document sharing.

Collaborating in projects

The SAP S/4HANA Professional Services Cloud makes it simple to plan, staff, monitor and bill commercial projects. It helps you manage the entire project management lifecycle, find the right resources to the right projects at the right time and gain real-time visibility into the performance and profitability of engagements.

In this use case we will take a closer look into the collaboration with the project team itself, supporting the entire extended project team's work. There is a need in projects to clear confusion and disorganization, bring documents, meetings, dates, sketches, conversations, and ideas into a single place and create peace of mind by putting information from peoples' heads to the system. Also taking joint decisions and tracking the decision path in a one-stop place supports a dispersed and mobile project team in working together and finishing projects in time and successfully. SAP JAM gives the project consultants the opportunity to quick align on upcoming problems, possible new opportunities and react fast on possible changes happening in the project.

Assuming Patricia is the project manager of an ongoing customer project. She wants to create a collaboration space for the project team, as the consultants are working together virtually. Within the “Plan Customer Projects” app she is able to create a group in SAP JAM when editing the project.

From there she can invite all the team members and either open a side panel in this app to show the SAP JAM feed and interact with her colleagues or view it directly in the collaboration tile on the SAP Fiori launchpad. Of course the team can also work directly in the SAP JAM group and add all their documentation, milestones, work packages, tasks and more project details into this group. For instance, the customer in this project wants to have some additional testing done, before going live with a new cloud software, Patricia can let her know and ask for their opinion. All team members will then receive an immediate notification about the note Patricia left in the SAP JAM feed. From there the different consultants can review he various pieces of information that need to be taken into consideration, such as the project milestones, staffing and the budget and get back to the rest of the team with their assessment.

Another case in which SAP JAM is valuable is customer collaboration. If there is any information or documentation that needs to be shared with the customer, this can easily be done by creating a sub group of the project group and inviting the respective colleagues from the customer side. This gives the project team the option to share the customer related information directly in this sub group and keeping it separate from their internal project information. SAP JAM also takes into consideration documents from other platforms such as SAP Mobile Documents and SharePoint.

Would you like to see how this looks like in the tool itself? Check out this video to get a better visual understanding of the integration from the SAP S/4HANA Professional Services Cloud to SAP JAM.

This collaboration platform brings several advantages to the team and the project as well. The performance of the team and outcome of the project will increase. It fosters the team spirit and preserves the project execution knowledge.

Mapped value levers

Last but not least, let us map this use case to the relevant value lever we outlined in the beginning of the cloud use case series. Out of the three dimensions “increase efficiency”, “increase effectiveness” and “increase agility”, this use case actually relates to two of the dimension, “increase effectiveness” and “increase efficiency”. Enabling the project team to have a one-stop platform to keep a project related information and stay in constant communication, most definitely leads to an acceleration of the project execution, so the efficiency, and speeds up the signal to action, so the effectiveness.

Stay tuned for the next use case, in which we will examine another manufacturing use case with the focus on demand driven manufacturing and map it against the value levers and dimensions.
