SAP Master Data Governance (henceforth, it will be called as MDG in this blog) provides a central place to maintain master data used in procurement, maintenance & other processes and provides consistent data throughout the enterprise. It enables automatic distribution of master data w.r.t enterprise asset management (henceforth, it will called as EAM in this blog) application by system integration & approval processes.

Master data in MDG acts as a single source of truth which is created by multiple validations & approvals to meet the standards.

SAP Master Data Governance (MDG) supports only BuPA (Business Partners – customer & vendor) finance & material masters (as of now). Customers can get EAM masters like equipments, functional location & others through SAP partner solution like “utopia”. Refer to following links for more info:

EAM extension by Utopia for SAP Master Data Governance lets you create and control master data and enable effective asset lifecycle management and maintenance.

In this blog, I shall show how material bill of material (henceforth, it’s called MBOM) or Equipment bill of material (henceforth, it’s called EBOM) (building blocks of equipments) are managed in MDG solution/system & how it’s used in EAM application in SAP Fiori screen. This blog doesn’t focus on MDG architecture & its deployment options (like embedded or side-by-side).

MBOM can be created in MDG system through two or three steps/approvals as standard. Further approvals can be added through enhancements along with additional validations.

In this blog, I shall show the end-to-end scenario with the three steps/roles:

1) End user: Identifies, suggests & creates the new master data - BOM in SAP (MDG) system.

2) Lead: 1st level approver. Reviews & validates the master data. Maintains further data if required. This role/user is not available in the 2 step process.

3) MDG expert: Final approver & activates the BOM master data in SAP (MDG) system.

MDG Configurations:

Kindly note about the transaction: MDGIMG. This is used to configure the MDG application including workflows, user or decision table steps & for many other activities.

Working Model:

Login as end user or the person who creates the master data in the system.

Open the section: “master data eam requestor” & the app “request new MBOM.” Choose two or three step process for master data creation.

Kindly note that you can see the apps for equipment & functional location creation. These are available only after the activation of Utopia add-on.

Fill all the mandatory fields & submit to get success message with the CR number (change request).

Kindly note that:

  • SAP provides few standard approval workflows & validations. It’s possible to add further custom fields, set default values & add validations through enhancements.  
  • On MBOM submit, sometimes the error like “MROBOM for material XXX plant YYYY is locked by change request". Earlier created MBOM with the same material & plant needs to be cleared in the Pending Change Request (either by approving or rejecting).   

Since the master data request or creation is done, let’s login as the specialist for validations, further data enhancements & approve/reject the CR.

Created MBOM request is available in “my inbox” app from where you can do the further analysis, changes & take action.

The MBOM detailed view opens in the new screen. Click on “edit” to change, add the item level material data & its details.

You can click on “display BOM hierarchy” button in the header data section to see the MBOM structure in the graphical or hierarchical view. If all data looks good, click on “finalize processing”.  This step will close the expected activities from the specialist.

Let’s login as the master data expert for the final approval process to activate & replicate the created master data in the SAP system. View the created master data MBOM request in the app “Approve EAM Master Data Request”.

Review all the data & click on “approve” or “reject” to close the master data creation activity.

Above created MBOM master data can be checked or viewed in the backend using the TA: CS03.

Created MBOM can be used in the equipment maintenance activity by adding it in the component field of the orderàoperations. All parameters of material are configured only once centrally & can be used it across the applications easily.  

Conclusion:

Create master data using the MDG to avoid any kind of duplications or discrepancies. Most of the customers are struggling to make the master data correct, lean & accurate from all the dimensions. MDG supports the entire lifecycle of the master data management with governance, validations, workflows & many other features.
