Introduction

Purpose and target

Customer and vendor integration affects many SAP customers, who plan to migrate the system to S/4HANA. In the ERP system the SAP already introduced the Business Partner (BP), and the customer and vendor master data transactions were still available for the user. In SAP S/4HANA those are completely replaced by the Business Partner. To use the SAP Business Partner as leading object in SAP S/HANA, the Customer/Vendor Integration (CVI) must be used. To ensure a successful synchronization for all Customers, Vendors and all contacts which relate to Customer or Vendor must be converted to a Business Partner.

Please note, in this blog I highlight the most important settings for CVI conversion besides highlighting common issues during the CVI, but it does not replace the official CVI Cookbook which contains a very detailed step-by-step instruction with detailed explanation to achieve successful CVI conversion. Before migration - Guides

A detailed guidance on the topic of Customer/Vendor Integration (CVI) can be found in the following SAP S/4HANA Cookbook CVI.

2. Is it possible to run CVI in advance of system conversion from SAP ERP to SAP S/4HANA?
Follow the Guided Answer CVI Cockpit and TCI for CVI to evaluate how to implement the CVI Cockpit, with or without implementing the TCI Note into your SAP ERP system. 

3. What is the business impact of completing CVI in the productive SAP ERP system in advance of system conversion from SAP ERP to SAP S/4HANA?
If all the steps described in the previous questions were followed, the execution of CVI on the SAP ERP system should not impact the final user’s daily operation. After running the synchronization, the team in charge of the master data will keep using the same Customer (XD**) and Vendor (XK**) transactions to create and update the master data. As CVI was already set, the system will automatically update/create the respective Business Partner.

4. Does CVI has dependencies with CRM?
Yes, before activating the CVI and starting the massive synchronization, it is important to carry out the pre-synchronization activities related to CRM, as explained in the SAP note SAP Note: 2285062 - S4TWL: Business partner data exchange between SAPCRM and S/4 HANA, on-premise edition. It’s important to reuse Business Partner GUIDs when creating BPs from Customers/Suppliers on the SAP ERP system.


5. Can the CVI is run regardless the EHP of my SAP ERP 6.0? Is there any impact due to the low version?
Yesbut depending on your current EHP it could imply some additional tasks.

It is not a requirement to assign the same number for a BP. It may have some benefits for the business to use the same number, but it is not a rigid requirement.

13. When a customer is also a Vendor, is it mandatory to synchronize both into the same BP?
SAP recommends creating one BP per each legal entity and adding BP Roles for the different business functions used to interact with the company. However, it is not mandatory and it is not expected by any logistics and financial process/transaction.

If you run a SAP IS-Retail solution and use standard plants in your SAP ERP system to which both a Customer and a Supplier are assigned (this is indicated by the fact that KNA1-WERKS and LFA1-WERKS are filled with the same plant number), and you intend to convert these standard plants to retail sites after the conversion to SAP S/4HANA, then it is critical to ensure that during the BP synchronization in the SAP ERP system the Customer and Supplier will be synchronized into the same Business Partner.

14. How to prevent assigning the customer and the vendor to one single BP?
The pre-requisites are defined in the SAP Note 2363892 - Linking Customer and Vendor to a single Business Partner during initial load before upgrad.... If you want to create separate BP for the customer and for the vendor, you can unlink the customer and the vendor. If the link is needed later, you can make this change temporary until every customer and vendor synchronized to BP. 

 

15. Is the synchronization of Employee Data into a BP also part of the CVI synchronization process?
No. But if Human Capital Management (HCM) or Success Factors is connected to SAP ERP and has a scenario of Supplier who is related to an employee, there are some pre-requisites to be performed before running the CVI synchronization.

For releases SAP S/4HANA 1809 FPS02 – 1909 (all FPS, SPS), additional details and ‘how to’ information can be found in the cookbook: SAP S/4HANA Cookbook Employee Business Partner Integration as of SAP S/4HANA 1809 FPS02. This cookbook does not reflect changes which were introduced with S/4HANA 2020.

From release SAP S/4HANA 2020 onwards, the ‘New Employee Business Partner Model in SAP S/4HANA’ is the recommended approach. We advise you to review the following information:

16. How to synchronize a Supplier who already related to an employee?

It is important to create BPs of category person and not organization for Employee Vendors during CVI Synchronization. To achieve this the following SAP Note needs to be applied in the SAP ERP system before starting CVI Synchronization.

Ensure that the Badi implementation CVI_EXCLUDE_VEND_EMPLOYEE is not activated otherwise the suppliers who related to an employee cannot be synchronized to BP via transaction MDS_LOAD_COCKPIT.

 

17. How to synchronize the contact person of a vendor?

18. Is it recommended to synchronize the Customers/Vendors flagged to be deleted or archived into BPs?
In the SAP Note 3072409 - Simplified Handling of Records Marked for Deletion -Enhancements to MDS Load Cockpit (MDS_LOAD_COCKPIT) you can find a new functionality which allows to suppress the data errors (business check) of Customers/Suppliers records that are marked for deletion.

19. What roles should be created as part of the synchronization direction from Customer/Vendor to BP?
If the standard configuration is followed, the expected roles after running CVI are:

  • For Suppliers: FLVN00, FLVN01
  • For Customers: FLCU00, FLCU01

 

20. How to activate PPO to identify the synchronization error?

21. How to suppress some check (such us for postal code, geo code, mandatory field, tax number, bank data, tax jurisdiction, e-mail)

Note: Postal code check & Address Regional checks are always suppressed by default in normal synchronization process(non-migration scenario). These checks can be enabled/disabled ONLY in a Migration scenario (for this reason the parameter MIG_CHECK should assign to the user, see KBA 2906882)

Note: Only the Mandatory check suppression is logged and can be viewed from CVI Synchronization

Note: By default, the checks are enabled and unless the checks are disabled explicitly in the customizing delivered for controlling the suppression checks, the checks would be executed always.

Inconsistencies/deletion

24. How to identify the assigned customer/vendor to the BP?
Via transaction CVI_LINKS and MDS_LINKS.


25. No BP is synchronized from customer/vendor.
If you are synchronizing the customer to BP, an entry will be created in the link table and the BP will be generated.

      • Link table for the customer >> CVI_CUST_LINK
      • Link table for the vendor >> CVI_VEND_LINK
      • Link table for the contact person of the customer >> CVI_CUST_CT_LINK
      • Link table for the contact person of the vendor >> CVI_VEND_CT_LINK

If all customers are synchronized to BP, the number of the entries in the table KNA1 should be equal to the number of the entries in the CVI_CUST_LINK. Same for the vendor. The number of the entries in the table LFA1 needs to be equal to the number of the entries in the CVI_VEND_LINK table. If every contact person is converted to BP, the number of the entries in the CVI_CUST_CT_LINK table and in the table CVI_VEND_CT_LINK are equal to the number of the entries in the KNVK table.

      • No BP is generated, the CVI link table do not contains an entry (consistent) 
        • Check, if the settings are correctly maintained based on the KBA 2290429 - The synchronization between BP and Customer/Vendor does not happen.
      •  No BP is generated, the CVI link table contains an entry (inconsistent, see below the consistency report(s))

26. Is there any consistency report(s) to check, if the customer/vendor/BP/related contact person consistent?


To check, if the CVI_*_LINK tables such as CVI_CUST_LINK, CVI_VEND_LINK, CVI_CUST_CT_LINK and CVI_VEND_CT_LINK are consistent, you can use the following Transactions:

  • BPVENDCHECK -  BP<->Vendor consistency check report
  • BPCUSTCHECK -  BP<->Customer consistency check report
  • BPCONTACTCHECK -  BP<->contacts consistency check report

The reports can be run in test mode and in production. If it is run in production mode, the incorrect entry will be deleted from the link table.

27. How to fix address errors during the synchronization?

28. Numbers is not sequence
It is documented in the KBA 1817764 - Number range skip in Customer / Vendor / Business Partner


29. BP grouping, BP type, BP category cannot be changed after creation.
Once the BP is created the BP grouping, BP type, BP category can no longer be changed.

  • See KBA 3224376 BP grouping cannot be changed in ECC or S/4HANA
  • See KBA 3286729 Not able to change BP type after creation
  • See KBA 2650719 - Business Partner Category change not possible

30. How to link existing customer/vendor to existing BP.

  • Assign existing BP to existing customer: FLBPD2
  • Assign existing BP to existing vendor: FLBPC2

 

31. Is it supported to delete Business Partners using BUPA_DEL?
No, BUPA_DEL transaction is obsolete and is not supported anymore. Please do not use this transaction to delete BPs (SAP Note 2599676 - Transaction BUPA_DEL is obsolete). To delete the BP, use the Guided Answer How to delete BP (with vendor/customer role)

32. Background processing in MDS_LOAD_COCKPIT
The transaction MDS_LOAD_COCKPIT can be used to synchronize Customers/Vendors to Business Partners (or vice versa) in 'background processing' mode. If the process does not create any Business Partners (resp. Customers/Vendors) even there are no errors logged in the Post Processing Office (transaction MDS_PPO2), look at the KBA  2448409

33. How are the Partner Functions working after CVI process?

From a functionality perspective there is no change. Partner function in SAP S/4HANA works the same way as it does in SAP ERP. In BP transaction in SAP S/4HANA, if you go to the Partner function tab you will find an additional column called ‘Assigned BP’. This column displays the BP number of the Supplier or Customer assigned to the Partner Function.

 

34. How to restrict the user in BP?

42. What is the behavior of creating a contact person when a BP has Customer and Supplier roles?
The standard data model for contact person relationship for a BP which has two roles (customer and vendor) is that there must be two KNVK records (one for the customer and one for the vendor). For this reason, when creating a new Contact Person (PARNR) the system automatically creates a Contact Person (PARNR) under customer role with an assignment no. XXXX and it creates another one as no. YYYY under Vendor Role.


43. How to map business address from BP Contact to Customer Contact

  1. There is an error/defect in the software.
  2. An error/defect in the software causes subsequent errors.
