When sales order request data is incomplete, you may want to open the original purchase order file and check purchasing details. To do this, you can open a side-by-side view which displays file contents alongside the sales order request. The parallel view allows you to easily check and revise sales order request data in light of purchasing details.

Step-by-Step Guide


In the Create Sales Orders - Automatic Extraction app, open the object page of a sales order request. Choose View File.

The purchase order file contents are displayed in an embedded pane. You can see all extracted data (highlighted by default) at a glance.

  • You can compare the extracted header data with the header data of the sales order request.

  • You can also conveniently compare the extracted item data with the sales order request items.

There are two ways of showing extracted fields.

  • You can hover over a highlighted area to show an extracted field.

  • You can click the eye icon to show all extracted fields.

You can also zoom in and zoon out to get a better file view, or jump to a particular page.

This function is also fit for OP2022 and higher version.

Hi Ian, thanks for the detailed blog.

 

We are on OP Release 2021 SP/FPS as 02( 02/2022) . From my understanding, Create Sales Orders – Automatic Extraction app (F4920, released as of SAP S/4HANA Cloud 2011) is not available on-premise. Could you please advise which app is available on-premise Fiori to create sales orders from pdfs? (i.e. similar to app F4920. Or is there a way to activate app F4920 . )

Please advise.

But the side-by-side view function (introduce in this blog) is not available for your version.

Hi Ian,

 

Thanks for the clarification and quick response. Just thinking , without side-by-side view , process might not be efficient to correct Incomplete Sales Order Requests. User would need to find the pdf from inbox to workout what was missing information - which might a pain.

 

Also, just confirming, would you know if Automation 5LT ( which internally calls this app F4920 )is available for S/4 2021?

Yes this app is also available for S/4 2021 but not available for side-by-side view.

@IanYin we are trying to use this app on S4 OP 2023. I have few questions.

  • The Extractions only extracts very basic fields in our case. Is there a way that the model can be trained for extract more specific information and map it properly in the Document extraction Service in BTP ?
  • When we create using IDOC we have lots of fields populated correctly as they are coming in the IDOC structure. Here it looks like we must write code for many fields. Is this True or there are other configuration steps which can help us here 
  • Since I was not able to successfully create order in the system I am not sure if the user exits and the schedule lines and subsequent documents will all get triggered 

Will be helpful if you can throw some light on these.

Hi

Is the data extraction completely separated from the manual re-work?
eg: Document Intelligence didn't recognize something and I need to re-work the record (with the help of side-to-side view). How does this re-work then improve the model for future extracts?

Did I understand the onPremise integration correctly: for S4 onPremise (not Cloud), there is no side-to-side view at all?

Another question is related to the confidence level on field level of the data extract:

Guess, the confidence level per field is technically seen available?
Is it visible to the enduser on the side-to-side view?
How is this information integrated into the overall process?
