Introduction

Leave liability or leave provisioning in Australia is a method which enables employers to project their liability in terms of the compensation due to their employees for long service leave, annual leave and any other leave types that are eligible for pay out at the time of termination.

However, in customers, who were using EC payroll as their payroll system with EC as their leading time management system, could not perform this projection as EC payroll did not store the relevant details on the time quotas.

This required that the leave balances (absence quotas) information be sent from EC to ECP for calculation of the leave liabilities in ECP.

For this purpose, so that all leave balance information can be replicated to ECP – and stored in IT 2010 – there has been an enhancement performed.

  1. BADI -> HR_AU_ECP_LEAVEPROVISIONS (Available in release SAP_HRCAU 608, 604, 600 and EA-HRCAU 608).

  2. BADI Implementation HR_AU_ECP_LEAVEPROVISIONS_IMPL (Available in EA-HRCAU 608).

  3. Table HRSFEC_T5QLM (Available in EA-HRCAU 608)


This enhancement will be visible to SAP on – premise customers as well as ECP customers, however, it will only be activated in case of ECP customers.

Process Flow


Prerequisites

Setting up the leave liability replication for EC Payroll Australia involves a few pre-requisites as listed below:

 

  1. Employee central and employee central payroll is set up and functional with time off replication working correctly in the system

  2. The function HCM_SFEC_TDEC2HR should be activated which will enable the employee central time off and employee central payroll integration


To begin with the replication configuration, firstly employee central side set up will be required as stated below. These settings will be made in the employee central admin centre to enable leave liability replication.

Steps to be performed in EC: CREATE TIME ACCOUNT SNAPSHOTS (EMPLOYEE CENTRAL CONFIG)

Preferably Configured by an Employee Central Consultant

The creation of time account snapshots is critical for leave liability calculations. The end date should indicate the last day of the month for replication of leave liabilities. If the leave balances are to be shown on the pay statement, then the end date should be mentioned as the pay period end date. To achieve this objective, the Snapshot flags to be selected are Snapshots as of Pay Period End and Snapshots as of accounting period end.

An important aspect to decode no replication occurring for leave liability in IT 2010 is that the replication will not trigger the IT 2010 creation if the time balance is zero for accruals or entitlements in the time account snapshot, the balance is less than 0.01 for As of Period End Snapshot or if the balance is less than 0.00001 for As of Accounting Period End Snapshot.

Steps to be performed in EC Payroll: CREATE EC to ECP MAPPING; CREATE WAGE TYPE TO QUOTA MAPPING

A] Map the EC time account snapshots to wage types created for IT 2010

In ECP, table T77SFEC_CVMAPC is used to map the time account snapshots to wage types that are having permissibility for IT 2010 entry.

B] Enabling the business function for replication of Time data

There is a BADI implemented which is invoked when the business function HCM_SFEC_TDEC2HR is activated. This BADI is used to replicate the leave balances to ECP.

  1. BADI -> HR_AU_ECP_LEAVEPROVISIONS (Available in release SAP_HRCAU 608, 604, 600 and EA-HRCAU 608).

  2. BADI Implementation HR_AU_ECP_LEAVEPROVISIONS_IMPL (Available in EA-HRCAU 608).


C] Mapping leave balances from EC to ECP wage types

In the table V_HRSFEC_T5QLM, map the wage types to the quotas configured in the table V_T556A. The functionality “Leave Provisions” in this table is used to indicate the purpose of the mapping.

Conclusion

Once all the above steps are completed, run payroll after verifying that the employee balances are replicated correctly in IT 2010. After successfully running payroll, do check the values in the wage types corresponding to the quotas set up in the system. The table RT, LVEPR and LSLPR will hold the values of interest. One thing to note is that the leave balances upon replication from EC to ECP in IT 2010 will be multiplied by 1000. This is perfectly normal since these wage types will be divided by 1000 during payroll run and provide the correct output in the payroll log. Once payroll is completed, the leave provision report RPLEAVQ0 can be run to check for the accruals/ entitlements.
