In this article I would like to introduce you to the possibility of allowing external service providers to report "service orders" in your SAP Business ByDesign.
Work Order Process
Automatically send maintenance and Repair orders to the responsible service provider and track the completed work with SAP Business ByDesign is a big goal.
Notify your employees and service providers automatically about upcoming maintenance and service orders via e-mail, fully integrated and directly from your ERP system! In the e-mail, the responsible technician receives precise information about the measure in question and a link that leads to a page individualized for the respective machine or equipment, in which the technician in question works through points previously defined by you and enters measured values if necessary.
Maintenance and service orders directly from your SAP Business ByDesign
It happens planned or unplanned: Maintenance of one of your machines or equipment is imminent or a maintenance measure is urgently required. You are now faced with the challenge of telling your employee or service provider exactly what needs to be done, so that the work can be done quickly and a defect with the risk of a shutdown can be minimized, or an existing defect can be quickly repaired. Notifying the employee or service provider of the situation and his or her work order quickly and without spending a lot of time is sometimes more time-consuming than the measure itself.
In this way, conclusions can be drawn in the future about the maintenance history, replaced parts and which technician carried out the respective measure.
Maintenance and servicing work that has already been carried out is often still recorded on paper. If you now want to trace the history (life file) of a machine or plant, you are faced with mountains of paper, without structure and from several creators with their respective handwriting.
The audit-proof tracking of the completed work, whether limit values of the machine or equipment are still in the normal range or whether a replacement of parts is necessary, is very valuable information. In this way, conclusions can be drawn in the future about the maintenance history, replaced parts and which technician carried out the respective measure.

Work order Integration in SAP Business ByDesign
It enables you to automatically inform employees and service providers about upcoming maintenance and servicing orders directly from your ERP system! In the e-mail, the responsible technician receives precise information about the measure in question and a link that leads to a page individualised for the respective machine or system, where the technician in question works through points previously defined by you and enters measured values if necessary. If defects are detected or measured values are exceeded, for example if the oil temperature is higher than normal, a message can be automatically generated here, which then appears immediately (in real time) in your
ERP system.
After the employee or service provider has completed their work order, an unchangeable, audit-proof and structured PDF work log is generated and linked to the work order. Digital and paperless. Your occupational health and safety officer will be pleased.
