When creating a service order or another service document like a service quotation, it is important for the service professional to know whether a valid warranty exists for the reference object. In SAP S/4HANA Service, the system can check whether a time-based warranty is assigned to and still valid for the assigned reference object (equipment or functional location).

As of release 2023 feature pack 3, you have two options how to maintain the warranty information in the reference object. You can either maintain the warranty start and warranty end dates manually, or you can assign a master warranty.

Here are the steps to set up the check based on a master warranty:

 1. Create a warranty profile:

In this IMG activity, there are two new options with release 2023 feature pack 3:

  • “Enable Inclusion or Exclusion of All Services” allows you to flexibly define whether all or just some of the available services are covered by the master warranty.
  • “Consider expired warranty” enables the user to manually select a service item as being covered by the warranty even if the assigned warranty has already expired. 

2. Assign the warranty profile to the relevant transaction types:

3. Create a Characteristic for Warranty Time (or reuse an existing one):

SAP Menu: Logistics > Plant Maintenance > Management of Technical Objects > Environment > Classes > Master Data > Characteristics (transaction CT04)

 

4. Define a Warranty Counter:

5. Create a Master Warranty:

SAP Menu: Logistics > Plant Maintenance > Management of Technical Objects > Environment > Master Warranties > Create (transaction BGM1)

On the Services tab page, maintain the service products relevant for warranty determination. Then select each service and on the Counter tab page maintain the counter you created above per service.

With release 2023 feature pack 3, you can optionally assign an accounting indicator to a master warranty. The accounting indicator will be applied automatically to the relevant services once the warranty is determined in a service document.

6. Assign Master Warranty to Equipment or Functional Location:

SAP Menu: Logistics > Plant Maintenance > Management of Technical Objects > Equipment or Functional Location > Change (transactions IE02 or IL02)

Note: The sub screen for warranties (110) must be included in the view profile that is assigned to the equipment or functional location category. You can verify this in IMG at Plant Maintenance and Customer Service > Master Data in Plant Maintenance and Customer Service > Technical Objects > General Data > Set View Profiles for Technical Objects.

7. Warranty Check in Service Order:

To verify that the warranty check is working, log on to the Fiori Launchpad as a service manager. Create a new service order and maintain the equipment or functional location ID in the corresponding field on header level. If you maintained the warranty correctly, it will be assigned to the service order on header level. Once you maintain items in the service order that are relevant for the warranty check, the warranty and – optionally – accounting indicator information is displayed on item level as well.
