When you are starting a new implementation project, having the system provisioned early can significantly improve the success of your implementation project. In SAP S/4HANA Cloud Public Edition (3-system landscape), we actively use customers experience and feedback during provisioning to refine and improve our processes, ensuring a smoother and more efficient experience for all our customers. The initial steps to access the initial systems have been improved and this blog will cover what has changed and how to find the right content to get you started toward a successful start of your implementation project. 

In the SAP Activate Methodology for SAP S/4HANA Cloud Public Edition (3-system landscape) implementation roadmap, all tasks related to system provisioning can be found within the Technical Architecture & Infrastructure workstream. Here's a summary guide to navigating the system provisioning to set the stage for a successful implementation. 

1. Verifying Access

The System Admin, also known as the Initial Admin, is responsible for ensuring that all necessary systems are requested and set up so the project team can begin the implementation project. The Initial Admin is the designated contact for receiving communications from SAP, including system credentials and upgrade information. This individual, listed as the Technical Administrator on the contract/sales order serves as the super administrator or cloud administrator. The first priority for the Initial Admin is to review the information listed in task Verify Initial Admin/Technical Administrator, this content will help ensuring you have all the authorization needed to start requesting the SAP S/4HANA Cloud Systems. 

2. Requesting Systems

Once this is done, the Initial Admin will be able to request the initial systems and tenant for SAP S/4HANA Cloud. The request is done via SAP for Me, see image below.

One of the improvements that was recently made in this process, is the ability to request multiple tenants within a single request. SAP Cloud ALM tenant, SAP Central Business Configuration tenant and SAP S/4HANA Cloud Starter System (including Starter Customizing and Starter Development tenants) are included in the initial provisioning. 3. Accessing Systems

To begin accessing the SAP S/4HANA Cloud Public Edition (3-system landscape) initial systems for project implementation, the designated Initial Admin contact receives a consolidated email containing all the necessary access details.

This email includes access information for the SAP Cloud ALM, SAP Central Business Configuration, SAP Business Technology Platform, and SAP S/4HANA Cloud Starter Systems, simplifying the onboarding process by bundling system links and login credentials in one communication. In the consolidated email, the initial admin will find links to each SAP Activate respective task, providing clear guidance on accessing the systems and performing the initial setup. 

4. Setting Up Systems: Getting systems ready for the project team 

Once the email is received, the initial admin proceeds to set up each system, starting with SAP Cloud ALM, then moving to the SAP Central Business Configuration tenant and Identity Authentication Service for the initial system setup. Access the SAP Business Technology Platform as guided in the email, and finally, establish the initial users for the project in the SAP S/4HANA Cloud Starter System, covering both Customizing and Development tenants. 

In the SAP Activate for SAP S/4HANA Cloud Public Edition (3-system landscape), the tasks required to set up the systems can be accessed directly from the provisioning email mentioned in Part 3 above. Each task includes clear guidance to help users understand the necessary steps for system setup and how to complete them using the accelerators attached to the tasks. The image below shows examples of various accelerators that direct users to the Help Portal, where setup instructions and guidance for each system are provided.

5. Support Channels

In the initial system provisioning, having access to the right support channels is important. The Contact Us page is an essential resource to bookmark, offering quick access to support whenever questions arise, or assistance is needed. 

  • SAP Customer Interaction Center (CIC) provides a central point of contact for queries such as existing cases and SAP for Me navigation, S-user ID and Universal ID. 
  • SAP Technical Support If customers are experiencing an issue with the functionality of their SAP solution and are unable to find a solution using the SAP Support Knowledge Search. 
  • SAP for Me Services & Support: Customers can create a support ticket using component XX-S4C-OPR-INC to ensure it reaches the right team efficiently. 

Final Remarks

System Provisioning, request, access, and setups are crucial to the early stages of any SAP S/4HANA Cloud implementation project. The Initial System Admin plays a key role in coordinating these tasks, ensuring that the project team has the right tools, processes and information in place to start the project. 

This provisioning process is continually improving, so it’s essential for the System Admin to regularly check the Roadmap Viewer for updates and changes. They can also share any questions or feedback directly in the Viewer through the feedback button.
