For HR and payroll teams, managing these entitlements accurately while staying compliant with local regulations and company policy can be complex. SAP Ticket Benefit solution offers a streamlined and flexible approach to address this challenge.

Overview of SAP Ticket Benefit Solution

The Ticket Benefit solution enables companies to manage ticket entitlements for expat employees and their dependents, whether provided as a monetary allowance or an actual ticket. It supports:

  • Flexible setup aligned with company policy
  • Annual, semi-annual, or custom frequencies
  • Configurable rules for dependents, travel routes, and ticket classes

Key Features

The solution is built on four core components:

  • Entitlement Recording - Infotype 3408
    The process begins by recording each employee’s entitlement details, such as: 
    • Accrual vs. in-full ticket
    • Frequency of ticket issuance
    • Number of tickets per cycle
    • Travel route and ticket class
    • Number of dependents covered

           These configurations allow organizations to accurately reflect their policies within the system.

  • Calculation - Payroll Function TBCAL
    During payroll runs, the function calculates the ticket balance for each employee and their dependents based on the Infotype records and the Ticket Benefit customizing settings. 

           This ensures entitlement values are updated and reflected in payroll results.

  • Ticket Compensation:
    • Issuing Ticket - Infotype 3409
      For companies that provide actual travel tickets instead of cash allowances, admins can record each ticket issuance directly in Infotype 3409 to keep the system aligned with the tickets provided.
    • Ticket Auto Encashment – Workbench
      The new Ticket Benefit Workbench further streamlines ticket allowance compensation by identifying employees and dependents who are in the penultimate month of their ticket cycle. It enables admins to create compensation records in bulk directly in Infotype 3409. This feature brings clarity and transparency to the entire process by providing a single view of eligibility status, pending tickets, and allowance values.   • Correction - Infotype 3410
    When adjustments are required, Infotype 3410 allows admins to specify who the correction applies to and add or deduct the appropriate number of tickets. This ensures ticket balances remain accurate and up to date.
