Ability To Customize Cancellation Reasons

One of the standout features in this release is the ability to customize cancellation reasons. In response to numerous customer and partner requests, SAP now enables you to add custom cancellation reasons that reflect more specific insights about why contracts are terminated. This not only aids in understanding customer needs better but also helps in refining service delivery.

You can now choose customized cancellation reasons when you cancel service contracts. This flexibility helps you understand why customers decide to cancel the contracts. Using the cancellation reasons, you can make data-driven improvements.

Key users and configuration experts can now make settings for service contract cancellations with two new configuration activities:

First, you can define the cancelling party. This means you can designate which parties are authorized to cancel a contract.

Second, you can define cancellation reasons. This provides the ability to set and assign specific reasons for contract cancellations to a cancelling party.

Understanding specific cancellation reasons allows businesses to address customer concerns proactively, reducing churn and enhancing service offerings based on informed decision-making.

Enhanced Change Capabilities For Mass Update Application For Service Contracts

Building on enhancements introduced in previous releases, 2502 brings robust capabilities for mass updates of service contracts. These include changing partner roles and payment terms/methods en masse, making it easier to adapt to large-scale customer requests or policy changes efficiently.

You can now change billing-relevant data, such as the payment method and terms of payment, at both the header and item levels. In addition, you can change business partners at the header and item levels.

You can change standard partner roles, such as the employee responsible, though this does not include the sold-to party.

You also have the ability to change payment terms and methods efficiently. This update ensures significant time savings and operational efficiency by enabling bulk changes at both the service contract header and item levels. Whether you are adjusting employee responsibilities or modifying payment methods across multiple contracts, these capabilities offer seamless process management.

By automating mass updates, organizations save time and reduce manual errors, increasing operational efficiency and freeing resources for strategic tasks.

Debit Memo Request For Service Contract Invoices

The ability to issue debit memo requests for service contract invoices is another feature designed to enhance financial operations. If discrepancies such as unpaid service orders arise or additional services are rendered, you can effortlessly create debit memo requests to notify customers of outstanding payments.

With this feature, you can create debit memo requests that were created with reference to service invoices. A debit memo request is a sales document that can be used to request a debit memo for a customer. Creating debit memo requests makes sense when the price that the customer has paid was too low. This could be due to wrongly calculated prices. After a debit memo request is created, you can find it in the transaction history of the corresponding service transaction. From there, for service contracts only, you can also navigate to relevant apps for more details about the document.

After the debit memo requests are created, they will show up in the Process Flow in the referenced service contracts.

In addition, SAP now allows these debit memo requests to be efficiently uploaded via spreadsheets, catering to businesses dealing with a high volume of transactions. This functionality will streamline operations and ensure timely follow-up on client invoices. 
Streamlined financial processes improve cash flow management and facilitate prompt customer interactions, enhancing financial transparency and reliability.

Add Fields to Form Templates for Service Quotation

The previous standard form template lacks flexibility with the output forms for Service Quotations. The standard template is not designed on S/4HANA Output Management. That makes it difficult to access key information in service quotations. 

Originally, the standard form template uses a non-standard wrapper.  Now it is replaced by a common wrapper created for service objects. The new wrapper can be applied to Service Quotations.

 
With this enhancement, customers are able to add more fields to the form template as output for service quotations. With the new fields in the output form, customers have better clarity in the detailed terms of agreement in the service quotations. This leaves no room for confusion in the complicated quotation processes.

Send Service Quotations for Workflow Approval using OData API

Before this enhancement, the OData API cannot trigger the approval workflow for service quotations. Customers can only use the button "Send for Approval" in the Manage Service Quotations app to trigger the approval workflow. Lacking the capability in the OData API makes the approval process time consuming.

This was resolved by adding the Action "SubmitForApproval" in the ODATA API for Service Quotation that can be used by external integrations.

The enhancement in the OData API helps customers trigger approval workflow for service quotations when they use integration and custom UI5 Apps. Users do not need to open the Manage Service Quotations app and trigger the workflow manually. It saves you time and effort.
