Generation of Product Compliance Documents with Integration into the Safety Data Sheet Process

Business Background

A safety data sheet (SDS) must be sent to industry customers at the time of delivery when hazardous substances or mixtures are sold. Safety data sheets are globally the central document for communication on hazardous substances or mixtures that are toxic, corrosive, ignitable, explosive, oxidizing, chemically reactive, or hazardous to health or the environment. Example products: cleaner, paint, pyrotechnic articles for vehicles, batteries (US), biocides, pesticides, oil, gas, metal powder, plastic granulate, and candles.

In SAP S/4HANA Cloud Public Edition, SDS Management is integrated into checks documents in the value chain, such as sales orders, to avoid the sale of products in markets where the necessary safety data sheets are unavailable.

Until now, if a safety data sheet was missing, the only option was to upload an existing safety data sheet that had been generated by an external system.

Key Feature

Now with this new 2408 release, we made the first step concerning the SDS generation you can generate a first selection of sections of a European safety data sheet in the SAP S/4HANA Cloud Public Edition for product compliance solution using Adobe Document Services.

In SAP S/4HANA, Adobe LiveCycle Designer (LD) and Adobe Document Services (ADS) are the only supported services for layouts and generating safety data sheet documents.

In the “Manage Safety Data Sheets” app, you can choose Generate to generate a base safety data sheet for all languages of a safety data sheet assessment. This generation process is run by ADS. A final safety data sheet is automatically generated during the safety data sheet shipment when the safety data sheet assessment containing a base safety data sheet is released.

If you want to adopt this final safety data sheet, SAP delivers two Business Add-Ins (BAdIs) that enable you to gather data and map it to form templates:

  • Adaption of Content for Product Compliance Documents
(BADI_EHFND_DATA_PRVDR_ADAPTION) enables you to determine data that is used to generate product-compliance-related documents.
  • Adaption of Data Mapping for Safety Data Sheet Generation
(BADI_EHSDS_GEN_DATA_STRUCTURE) enables you to map safety-data-sheet-related data into a format that is used in the form data provider to generate a safety data sheet document.

DEMO_02_SDS.png

Demo 2: Create product compliance documents using standard document tools from SAP S/4HANA Cloud Public edition.

Restriction

It is currently only possible to generate specific sections of a safety data sheet for EU countries. SAP only delivers the required labels and heading phrases for Germany (DE). If you want to generate further sections, use the two BAdIs to gather and map the required data.

If you want to generate a safety data sheet for other EU countries/regions, you have to link the corresponding template to the compliance requirement version and manually create the phrases.

If you want to generate a safety data sheet for countries/regions outside the EU, you have to create a new template, collect and map the data accordingly, and link the template to the compliance requirement version.

New SAP Fiori apps for Safety Data Sheet

Business Background

Related to the previous chapter concerning the Generation of Product Compliance Documents with Integration into the Safety Data Sheet Process, we have also introduced new SAP Fiori apps.

New SAP Fiori app for Management of Identifiers

With this new 2408 release, you can use the “Manage Identifiers” app to display, change, add, and delete names and numbers that are used to identify unpackaged products and raw materials. You can use these identifiers, such as the IUPAC name or CAS registry number, to connect products and raw materials with regulatory substance databases.

These identifiers also serve as tags to help you search for unpackaged products in the “Manage Basic Compliance Data - Unpackaged Products” (F2641) app so that you can analyze and work on them. You can also print these identifiers so that they can be used in safety data sheets and labels.

For more information, see Manage Identifiers.

New SAP Fiori app for Stability and Reactivity

With this new 2408 release, you can enter and edit information about the stability and reactivity of an unpackaged product or raw material in the new “Manage Stability and Reactivity” (F7930) app.

This allows you to enter the information separately from the safety-related properties at a later point in time. The information about stability and reactivity is required in section 10 of a safety data sheet and can be used for the classification of products according to different hazardous substances or dangerous goods regulations.

New SAP Fiori app for Handling and Storage

With this new 2408 release, you can enter handling and storage data for a raw material or an unpackaged product in the “Manage Handling and Storage” (F7929) app. You can update the data to ensure that it stays compliant over time. You can also indicate where the data you’ve entered can be used, for example, for public use on safety data sheets.

When you have provided the handling and storage information, you can release it for further use. Information about handling and storage is required for section 7 of a safety data sheet.

For more information, see Manage Handling and Storage.

New SAP Fiori app for Water Hazard Class

Legal Requirements: In Germany, the Netherlands, and Switzerland, substances and mixtures are classified according to their hazard potential to the environment and human health into water hazard classes. Information about water hazard classes is often included in section 15 of a German, Dutch, or Swiss safety data sheet.

With this new 2408 release, you can assess products, raw materials, and substances according to the applicable water hazard class regulations and manage the compliance assessments.

With this new SAP Fiori “Manage Water Hazard Class” (F5756) app, the following compliance requirement versions for the water hazard class assessments are provided with the SAP regulatory content:

  • CH Water Hazard Class (Jan 2019)
  • DE Water Hazard Class (WGK) (Apr 2017)
  • NL Water Hazard Class (GAM (Mar 2016)

The delivered compliance requirement versions are based on the Regulatory Data Assessment compliance pattern.

The assessments that you can carry out according to water hazard class regulations are based on these delivered compliance requirement versions.

Mass Classification of Packaged Dangerous Goods

Business Background

As a hazardous materials expert, your responsibility is to assess products that are intended for transportation. If the product is considered to be dangerous goods, you must classify it according to the applicable dangerous goods regulations. Additionally, you must determine whether the product can be transported in a particular country or region using a specific mode of transportation.

With the Dangerous Goods Management in SAP S/4HANA Cloud Public Edition, you can:

  • Evaluate both unpackaged and packaged items,
  • Categorize them based on relevant dangerous goods regulations,
  • Determine if their transportation is permissible, subject to restrictions, or prohibited.

Key Feature

With this new 2408 release, we introduce the Dangerous Goods Classification of Selected Products.

With this new feature, you can select multiple products and classify all the selected products together instead of having to classify them one by one.

Here we have 2 use cases:

  • If you have selected products that are classified as no dangerous goods, the system releases the classification of the selected products and sets the transport permission to Allowed for all modes of transport.
  • In the second use case, if you have selected products that are classified as dangerous goods, a new classification dialog opens in which you can enter the required information for the dangerous goods package. You then select the enclosure variant, and, if applicable, assign an exemption category for the selected products. The system then determines the applicable dangerous goods classification. You can verify the classification data and save or release the classification assessments for all selected products in one step.

Mixed Loading Check Rules for IMDG 2022

Business Background

In the world of transporting dangerous goods, there are strict rules that state certain hazardous items cannot be loaded together in the same transport vehicle. To maintain safety regulations and ensure adherence, an important procedure called a mixed loading check is utilized. This involves confirming that different hazardous materials are compatible, allowing only those that can be transported together to be loaded. Carrying out a comprehensive mixed loading check assists experts in reducing risks, avoiding accidents, and upholding regulatory compliance.

Key Feature

With this new 2408 release, a mixed loading check is provided that determines whether compliance-relevant products can be transported together in the same transport unit or must be segregated.

Picture6_MIXED_LOADING.png

Picture 6: Additional messages generated for mixed loading.

The mixed loading check can be enabled using the Enable Mixed Loading Check configuration activity. If enabled, the check determines the dangerous goods classification data for the products that are relevant for the check and compares the data with segregation rules that are specified in the Mixed Loading Check According to Dangerous Goods Regulations (BADI_EHDGM_MIXED_LOAD) Business Add-In (BAdI). This BAdI is released for developer extensibility. You can use it to influence the behavior of the mixed loading check by specifying specific segregation rules based on segregation codes or classes.

You can view the results of the mixed loading check using the “Dangerous Goods Information - For the Value Chain” (F7369) app.
