SAP S/4HANA Service

SAP S/4HANA Cloud Private Edition already offers a comprehensive service management solution since many releases. This is the SAP S/4HANA Service. Service supports end-to-end scenarios like field services, recurring services and in-house repairs and it supports the setup and operation of functions and processes for service contract management, service order management, billing, etc.

With SAP S/4HANA 2023, SAP is offering a new process variant in SAP S/4HANA Service. This is the Service with Advanced Execution. This new process helps businesses to plan, execute and bill services for complex assets or long-running services with multiple billing cycles.

What is Service with Advanced Execution

This is a new service business process which offers advanced planning and execution capabilities. It is built around the integration of Service with Maintenance Management. Service is responsible for understanding the scope of the service requirement, negotiating the price, ensuring customer satisfaction and managing profitability. Maintenance Management is responsible for planning and executing the service, including scheduling and confirming the work.

Service brings the commercial capabilities to the process like

    • Service contract management and price agreements
    • Service order quotation and service order management
    • Pricing and credit check
    • Billing

On the other hand, Maintenance Management enables planning and execution capabilities like

    • Maintenance task list
    • Maintenance order and confirmation management
    • Maintenance planning with strategy
    • Resource scheduling
    • Advance Shipment

Thus, service with advanced execution brings together the best of both worlds. This new process also supports resource-related quotation and resource-related billing based on the Dynamic Item Processor (DIP).

 

Service with Advanced Execution

The key elements in service with advanced execution

Service with Advanced Execution also works with the Service Order Quotation and Service Order. But this new process is enabled with a new type of item in Service, which is the Execution Order Item. The execution order item in a service transaction holds the commercial data. Each execution order item, in general, has a corresponding maintenance order, which is the planning and execution object. This is a special type of maintenance order called as Billable maintenance order.

Thus, the execution order item in Service, together with the billable maintenance order, forms the core of the service with advanced execution process.

Business roles and responsibilities

Service with advanced execution process could be managed across two distinct personas or business roles. The customer service manager may have the exclusive access to the Service functionality. This business user could play the role of the commercial persona. On the other hand, the maintenance planner might have the requisite authorizations for the features and apps in maintenance management. In this case, this other independent business user would have the responsibility of planning and execution. With customer service manager and maintenance planner complementing each other, the overall responsibility for a service can be split between two different and independent personas.

However, it could also be possible that the same business user is handling both commercial and execution aspects. In this case, this user would be authorized to access both Service and Maintenance Management, thus owning the complete process end-to-end.

Pre-requisites

This new process is supported only with Item-based accounting. See the customizing activity in the SAP Reference IMG under Service -> Transactions -> Settings for Service Transactions -> Integration -> Enable Item-Based Accounting for Service.

It is also required to configure the mapping of transaction types and item categories in Service to the corresponding maintenance order types. This can be done in Customizing for Service under Transactions -> Settings for Service Transactions -> Integration -> Plant Maintenance Integration -> Map Order Types.

Summary

The service with advanced execution offers a dynamic new option, wherein the planning and execution of the service itself is performed not within service, but rather with the detailed planning and flexible execution capabilities of maintenance management. With this new process, the maintenance of a complex asset becomes a reusable and common subprocess between maintenance and service. It even involves the same transactions like maintenance order and maintenance confirmation. The only distinction is whether we need the capability to bill the costs to a customer or not.

Thanks for sharing information. Very helpful article.

We have a scenario where service is 100% subcontracted to a vendor. After the customer component is received by the main service provider, it is shipped to the repair vendor shop so work can be done.

Can this new service with advanced execution process trigger for instance a service purchase requisition/ subcontracting PO on the material management side, so customer can be billed for the provided repair cost plus a markup fee, after vendor invoice is receipt, similar to what we can do with old SAP CS?

@Eliel In general all the functionality which was available with maintenance order, should work with billable maintenance order also. But there will be some exceptions to this general rule.

I am looking for some insights on the capabilities of this functionality with respect to service and inhouse processes. Can you please point me towards the  details with respect to work planning and workload management , Is this handled as part of resource scheduling ?

Please note that we still keep the maintenance order as the execution object in this new process. Hence we have planned in our roadmap to enable RSH integration for billable maintenance orders. With this it would be possible to manage workload and scheduling with RSH for billable maintenance orders also. I hope that answers your query.

Hope you doing good. Currently we have implemented S/4 HANA 2022 Version SP03. Since we are planning to implement s/4 services, whether this DIP process (service with advanced execution process (item based configuration) can be configured in 2022 version also. Can you please confirm on this Service with Advance Execution process can configured in 2022 Version SP03

For Service Orders with Advanced execution, would it be possible to generate Resource-Related Billing (RRB) via DP90? The current billable PM order type, YBA1, is a PM order type with a Billable indicator but is not a Service Order type. Therefore, RRB cannot be generated from DP90.

Is there a plan in the roadmap to enable DMR creation from YBA1 orders via Tcode DP90?

Hello,

yes we do support resource-related billing in the process of Service with Advanced Execution. DP90 is the transaction code for the legacy customer service solution, and this is not supported. We have introduced a new transaction code DP92 or you can also use the Fiori app Create Resource-Related Billing Request:

Hello,

Service with Advanced Execution process is available and can be configured in the SAP S/4HANA 2022. However, please note that this release has several restrictions and critical gaps and SAP recommends to not use this version for your business. On the other hand, SAP S/4HANA 2023 has covered a lot of these gaps and hence it can be used productively to address a large part of the process / scope.

Hi Ramesh

Thanks for a useful blog. We are busy implementing S4H Service (Private cloud) and will definately be using the advanced execution model. I am unclear as to whether we should use the Legacy Organizational Management model or the Enterprise Organization model.  From the description in the doco I tend more towards using EOM, but In the Learning path (Configuring SAP S/4HANA Cloud, Private Edition for Service) they say Legacy Org model is a "pre-requisite" and that it is not recommended to use EOM with advanced exeuction. 

Is this correct? I understand that with EOM the automatic determination of planning plant and work center is not possible - that is a definitate negative. Is this the reason and is there no way to do so like BADI?

Could you shed some light on that?

Hello Patrick,

The learning path which you have referred is based on previous release SAP S/4HANA 2023 FPS00. This recommendation was true then.

However, in the meantime, we are in the journey of delivering continuous improvements for enterprise org. model. With the next feature pack of SAP S/4HANA 2023 FPS03, we will be delivering better capabilities in enterprise org. model and then this above statement and recommendation would no longer be true. In FPS03 it would be also possible to perform automatic determination of planning plant and work center with enterprise org. FPS03 is planned to be generally available on 26 Feb 2025.

 

With this, customers can choose between both options:

Legacy Org. model has certain advantages like:

1. Flexible org. structure with hierarchy

2. It supports complex determination rules for service org.

3. Supports authorization based on service org.

On the other hand, Enterprise org. model is suitable for other advantages:

1. Easier integration with SD org. structures like sales org.

2. There is no need to maintain parallel org. structure like legacy org. structure and hence no need for mapping between legacy sales orgs. and SD sales orgs.

3. It also supports enhanced sales org. model

Hello Michaela,

Regarding support of phase model in billable maintenance orders: this would be supported with one of the feature packs in SAP S/4HANA 2025, but it is definitely on the roadmap.

Regarding common divisions, please could you elaborate what this means? I am not able to follow this concept of "common divisions".

Thanks for your quick response.
In sales we use common division for the Business partners.
So we need only to create the BP for one sales org and one division. In the sales order we can choose for which division the order should be created.
We only need to create the customer once and then specify the division when setting up the sales-order
A commonly used scenario in sales .and reduces the effort required when creating customers.
But Service is not able to work with it. Service module expects division 00 (common division) where the customer is created, if we change it to division 01 (spare parts) the system generates the error message..customer not created for division 01.

Hi Michaela, we have a 2023 FPS2 fully activated appliance, and it is working there. Not sure what specific release this is possible since.

See example: BP is set up only in 1710 - 10 - 00, but you can assign any division in the service transaction.

Hi, 

Is there any help document available to understand the use and significance of the product we need to use for service Quotation/Contract with different scenario. 

I am not not able to find main significance of the material type (SERV) we are setting up for the different scenaio how to let the customer know about the product use.

Appreciate your responce and helping to understand the concept of the product use for the different scenario.
