GROW with SAP S/4HANA Cloud Public Edition, base: An Overview of the base edition

Since March 2023, customers who have selected SAP S/4HANA Cloud Public Edition as the core ERP system to run their businesses have received additional entitlements beyond the core functionality. These added capabilities form one of two comprehensive bundles: GROW with SAP S/4HANA Cloud Public Edition, base and GROW with SAP S/4HANA Cloud Public Edition, premium.
 
In this blog, I will focus on the base edition bundle, providing a clear explanation of each entitlement and its business value. I cover premium edition exclusive entitlements in the blog linked here..

This blog is designed for business users and consultants with ERP experience, aiming to provide practical insights into each entitlement's purpose and when it’s most valuable. Please note, statements about adoption difficulty and required personas are based on my research and experience, and other cases may vary based on the specific business context etc.

  1. GROW with SAP S/4HANA Cloud Public Edition, Base: Overview
    The Base Edition comes in two SKUs: 8014771 for global markets and 8014782 for the Greater China region (which excludes some entitlements). This blog focuses on SKU 8014771.

    How to identify if you have this SKU:
    1. Log in to SAP for Me: Reporting > Purchased Solutions
    2. Under 'Orders by Solution Area,' select S/4HANA Public - your SKU will be listed on the right. If 8014771 appears with a valid date, you have the GROW Base Edition. If 8014761 appears, you have Premium. Other SKUs likely represent SKUs that do not include this full suite of entitlements.

  2. Core Entitlement: SAP S/4HANA Cloud Public Edition
    The core entitlement includes:
    1. Services & Support: Access to support services like incident creation, onboarding advisor support, and the SAP Enterprise Support Portfolio, which offers learning content and services such as Continuous Quality Checks.
    2. Systems: Access to multiple systems (e.g., ERP production, test, and development systems) and related tenants. This also includes non-ERP systems like Cloud ALM, CBC, SAP for Me, and BTP systems.
    3. Functionality: Access to pre-configured scope items. Commonly used ones include J59 - Accounts Receivable and J60 - Accounts Payable. You can view and manage scope items through SAP Activate’s Availability and Dependencies of Scope Items accelerator.
    4. Full User Equivalent (FUE): Your contract includes a specific number of FUEs that govern how many business users can access core functionality. Check your licensed FUE quantity in SAP for Me: Reporting - License Consumption under metric CY334.
    5. Entitlement Measurement: Overuse is possible but monitored by SAP. Your account team will reach out in case of overconsumption.

  3. General Notes on Additional Entitlements
    What is an "entitlement"?
    An entitlement refers to the right to use a specific set of functionalities that normally requires additional licensing (at a cost). In the GROW Base Edition, certain entitlements are included up to a threshold without extra software licensing costs. For example, get an entitlement to use up to 25 objects with the Group Reporting Functionality - this blog goes through entitlements like this which are included in your bundle.

    Are the "entitlements" completely free?
    The outlined entitlements mean there's no software licensing cost if you use up to the amount indicated. Usage beyond that quantity will require additional (paid) licenses, and you may need to consider some investment of business time and effort to adopt new features and functions, and in some cases you'll require consultants for the setup and implementation.

    What does "adoption" mean in this blog?
    I'm using 'adoption' to refer to the setup AND usage a software functionality. The setup or implementation is the process of adopting, and once it's setup and being actively used  - then I would then say the customer has adopted a feature/entitlement.

  4. Base Edition Entitlement: Group Reporting
    Business Case
    Group Reporting helps businesses that operate multiple subsidiaries or legal entities shorten the time needed for financial consolidation. It automates key activities and streamlines the data model, making it highly valuable for businesses with complex financial structures. For single-entity businesses, this functionality is not immediately relevant.

    Business Role Relevance
    Senior finance roles, such as Finance Managers and Group Controllers, will benefit from this functionality for managing financial consolidations.

    Entitlement
    The GROW Base Edition includes 25 Group Reporting objects. An object typically refers to a legal entity within a consolidation group (e.g., parent and subsidiary companies). Additional licenses are required for more than 25 objects. Official documentation is here

    License Consumption
    You can track your consumption using metric CH112 in SAP for Me under SAP4ME: Reporting -> License Consumption. You can see this in a more visual manner showing you % consumed in the area SAP4ME: Finance & Legal -> Consumption

    Overusage
    It is possible to over-consume your allocated Group Reporting objects. SAP will periodically review your usage under metric CH112. You can license additional units by contacting SAP for SKU 8013710.

    Scope Item Relevance
    The main scope item for Group Reporting is 1SG. This measures whether data from group reporting has been posted into the system. You can validate its usage in Portfolio & Products - SAP S/4HANA Cloud Public Edition - Usage. Other Scope Items flagged as Group Reporting relevant are  287, 28B, 4R7, 2U6

    Key Adoption Notes:
    Expertise needed: You'll need a combination of BTP administrators and finance consultants for configuration and initial setup.
    Adoption Effort:  Rated 3 (on a scale from 1 to 5). You’ll need finance consultants, and technical consultants with expertise in BTP to set up this functionality.
    Not to be confused with: This entitlement does not include Group Reporting Data Collection, which must be licensed separately.

  5. Base Edition Entitlement: SAP Build Process Automation
    Business Case
    SAP Build Process Automation enables non-developers, such as key users or business process experts, to create bots or automated workflows based on a set of rules. This is valuable when no standard ERP functionality exists to meet a specific business need, for example, automating the creation of general ledger accounts.

    Business Role Relevance
    Consultants, process automation specialists, and business key users involved in implementing and running the ERP system will find this useful.

    Entitlement
    The base edition includes:
    20 Standard Users (CP278) – Can trigger or interact with a process.
    2 Advanced Users (CP279) – Can design, monitor, and administrate processes.
    1 Unattended Automation (CP283) – A bot that continuously monitors and executes a process.

    License Consumption
    You can track your consumption of CP278, CP279, and CP283 in SAP4ME - Reporting - License

    Overusage
    You are blocked from overconsuming these licenses. Once the entitlement limit is reached, additional licenses must be purchased or allocated through CPEA credits.

    Scope Item Relevance
    There is no specific scope item for SAP Build Process Automation.

    More Information

    Key Adoption Notes
    Expertise Needed: You’ll need a BTP expert for the base setup. Then you'll need LoB experts e.g. finance experts to develop meaningful automations as per your needs. Setup steps are outlined here.
    Adoption Effort: 2/5 for platform setup by BTP experts; 2-4/5 for workflow creation depending on complexity.

  6. Base Edition Entitlement: SAP Build Workzone, Standard Edition

    Business Case
    SAP Build Workzone allows organizations to create a central homepage for employees with user-specific access to applications across various SAP systems. This enhances efficiency by providing direct links to necessary business apps for roles like sales managers or purchasing clerks. The more SAP systems used throughout your organization, the more value this solution will offer your organization.

    Business Role Relevance
    This functionality benefits employees across departments who frequently use SAP applications in their daily tasks.

    Entitlement
    You receive 1 Workzone user per FUE licensed. For example, if you have licensed 100 FUEs for the core, 100 users can access SAP Build Workzone.

    License Consumption
    You can track your consumption of CP264 in SAP4ME - Reporting - License Consumption

    Overusage
    Additional licenses or CPEA credits are required if the number of users exceeds your entitlement.

    Scope Item Relevance
    There is no scope item related to SAP Build Workzone usage.

    Key Adoption Notes
    Expertise Needed: A BTP global administrator for initial setup, followed by non-technical key users for managing pages.
    Adoption Effort: 2/5 for BTP experts; 3/5 for non-experts. View the setup steps in this tutorial.
    Not to be confused with: SAP Build Workzone is distinct from SAP Start, which a more lightweight solution without ability to consider other SAP system authorizations. SAP Build Workzone Advanced Edition is a different product without a migration path from the standard edition.

  7. Base Edition Entitlement: CPEA Credits

    Business Case
    CPEA Credits (Cloud Platform Enterprise Agreement) allow businesses to consume various BTP services within predefined limits without additional fees. These credits can be applied to services like Integration Suite, SAP Build Apps, and Cloud Identity Services. You can view the list of included services here in the Discovery Center. There's more nuance to the CPEA credit commercial model, which you can read about here.

    Business Role Relevance
    Technical teams managing BTP services will oversee consumption of this entitlement. The business areas that consume this depend on which services you're utilizing from BTP - many are in the technical / administration area.

    Entitlement
    Customers receive 1% of their net Annual Contract Value in CPEA credits, with a minimum value of €2,000 and a maximum value of €16,000.

    License Consumption
    You can view your CPEA credit balance in SAP4ME - Finance and Legal - Enterprise Agreements

    Scope Item Relevance
    CPEA credit usage is not tied to any scope item, as it applies across various BTP services.

    More Information
    Each service that can be paid for by CPEA credits are listed here in the Discovery Center - and this same resource provides additional information on each service.

    Key Adoption Notes
    Expertise Needed: BTP experts and business area owners are required to manage and utilize CPEA credits effectively.
    Adoption Effort: Varies depending on the BTP service being used.
    Not to be confused with: CPEA credits differ from BTPEA and EA credits, which operate similarly but cover different services.

  8. Base Edition Entitlement: SAP Digital Access

    Business Case
    SAP Digital Access governs how non-human interactions (such as external systems creating documents) are licensed. It is relevant when integrating third-party systems like Salesforce to trigger document creation within SAP S/4HANA Cloud.

    Business Role Relevance
    IT and integration specialists responsible for system integrations with non-SAP platforms will need to manage this entitlement.

    Entitlement
    The base edition includes 100,000 digital access documents per year.

    License Consumption
    Track your consumption by launching the License Compliance Digital Access app in the productive SAP S/4HANA Cloud Public Edition system. This guidance document shows how to do this and provides other useful context on measuring your digital access usage for SAP S/4HANA

    Overusage
    It is possible to exceed your annual document allowance. SAP periodically reviews your consumption and the account team will reach out in the case of overconsumption.

    Scope Item Relevance
    This entitlement applies to external system interactions and is not tied to specific scope items.

    Key Adoption Notes
    Expertise Needed: No specific competency is needed. Entitlement consumption should be reviewed by the party responsible for your SAP system billing & commercials.
    Adoption Effort: 1. There's nothing to setup per se for Digital Access - you only be aware of it and monitor your consumption.
    Other Notes: SAP Digital Access is only necessary for non-SAP systems. If SAP systems trigger document creation, digital access is not consumed.

  9. Base Edition Entitlement: Ariba Buying, Base Edition

    Business Case
    Ariba Buying Base Edition allows employees to make internal purchase requisitions. It's scope is similar to the core ERP requisitioning scope of 18J, but Ariba Buying Base has an enhanced UX and has the capability to integrate with many advanced features, such as directly connecting to supplier catalogs and the Ariba Business network.

    Business Role Relevance
    All company employees can benefit from an improved user experience for purchase requisitions, particularly in organizations using self-service requisitioning.

    Entitlement
    There is no access limit for the base functionality, but additional licensing may be required for extended capabilities, such as linking to external supplier catalogs.

    License Consumption
    There are no limits to usage of this entitlement. It operates more like a standard scope item, but many of the functionalities that bring Ariba Buying Base to life will require additional licenses.

    Scope Item Relevance
    Scope item 4AI measures whether you've setup the communications arrangement required to use Ariba Buying base edition.

    More Information

    Key Adoption Notes
    Expertise Needed: BTP administrators and procurement experts are required for setup and catalog integration.
    Adoption Effort: Unclear
    Other Notes: A lot of the functionality’s value comes from adding catalogs and integrating with the broader Ariba Network, which may require additional licensing.
