With this blog I will walk you through my selected key highlights for Environment, Helth and Saftey in SAP S/4HANA Cloud Pubic Edition 2502:

  • New Application for Managing the Investigation Process,
  • Integration with Learning Management Systems 
  • Electronic Submission of Recordable Injury or Illness Cases to OSHA 
  • Automatic Generation of Emissions Declarations
  • Create and Manage Requests for Chemical Approval

New Application for Managing the Investigation Process

Business Background

Investigations help in identifying the underlying causes of accidents or incidents, whether they are related to human factors, equipment failure, procedural errors, or environmental conditions. This thorough analysis is essential to develop effective corrective and preventive actions.

In the same way, properly managing investigations ensures compliance with legal requirements and regulatory standards. It demonstrates an organization's commitment to investigating incidents thoroughly and taking necessary actions to prevent similar incidents in the future.

Key Feature

In the previous release, this feature was available as an optional feature. In SAP S/4HANA Cloud Public Edition 2502, it is generally available and doesn’t require any activation.

It is enabling the investigation leaders to manage the investigation process and document the investigation result in a separate application and empowering expert users to manage the investigation result without access to the incident. The user need only read access to the incidents.

It is allowing investigation team to Plan the investigation process, Collect evidence, Analyze root causes and make recommendations to prevent the future incidents. For more information, see Manage Investigations and following Demo.

Integration with Learning Management Systems

Business Background

Previously, when an incident investigation warranted a learning assignment, the process involved several manual steps within the Learning Management System. First, the Incident Manager had to notify the HR or Line Manager of the relevant Learning Assignee. Then, the Line Manager would assign the learning tasks in the Learning Management System for the Assignee. Finally, any changes to the learning task status had to be manually communicated back to the Incident Manager.

With this new release, you will be able to assign content from an integrated learning management system (LMS) to employees who need to fulfill certain training, qualification, or certification requirements.

Key Feature

In the new Task Definition: Learning Task app (F8398), you can create a task for an employee to complete a learning in an integrated learning management system. You can select a learning from a list of items that are available and active in the LMS and that match your predefined configuration settings for learning item types.

This feature currently supports integration with the SAP SuccessFactors Learning solution.

Implementation Details

To set up the integration with SAP SuccessFactors Learning, you'll need the following:

  • A tenant on the SAP Business Technology Platform (SAP BTP) withSAP Integration Suite enabled.
  • An SAP SuccessFactors Learning system connected to SAP S/4HANA Cloud Public Edition.
  • A business user with a business role in the SAP S/4HANA Cloud Public Edition system. The business role must contain the business catalogSAP_CORE_BC_COM (Communication Management), for example, the SAP_BR_ADMINISTRATOR (Administrator) business role.

Electronic Submission of Recordable Injury or Illness Cases to OSHA 

Business Background

OSHA stands for the Occupational Safety and Health Administration. It's a federal agency in the United States under the Department of Labor responsible for ensuring safe and healthful working conditions for workers by setting and enforcing standards and by providing training, outreach, education, and assistance.

This feature enables to submit injury and illness data to OSHA in the USA electronically and ensure compliance with OSHA's electronic reporting requirements.

Prerequisites

To submit injury and illness data to the OSHA electronically, the following prerequisites must be fulfilled:

The Establishment ID and Establishment Name identifiers must be assigned to the incident location in the Manage Locations app.

  • The OSHA (USA) regulation has been assigned to the incident.
  • On the Reports tab of the incident record, an OSHA 301 form has been added for each injured person, with the Reporting Required field set to Yes.

Key Feature

To report work-related injury and illness data electronically, carry out the following steps:

  1. Create an electronic submission.
    In the Manage Electronic Submissions app (F8152), create a record and specify the location (establishment) for which you are reporting, the applicable regulation, and the relevant reporting period.
  2. Generate the required data.
    Generate the data required to be submitted electronically according to the selected regulation. The system extracts the relevant data and generates the following reports:
    OSHA 301 (Injury and Illness Incident Report)
    OSHA 300 (Log of Work-Related Injuries and Illnesses)
    OSHA 300A (Summary of Work-Related Injuries and Illnesses)
  3. Send the data.
    Send the relevant data to OSHA for validation. The system displays the web service response detailing the status of each report. In case of errors, you can correct the data and resend it.
  4. Complete the electronic submission.
    When all required injury and illness data has been sent successfully, complete the electronic submission, which finalises the reporting process.

Automatic Generation of Emissions Declarations

Business Background

As an Environmental Manager, you can schedule the periodic generation of emissions declarations within the Manage Compliance Scenario app, In this release, during the creation of Emissions Declaration Scenario, under the Basic Information tab, there's a new section called Emissions Declaration Settings available.

With this setting, you can set up the scenario so that the system automatically generates an emissions declaration based on the specified frequency.

Key Feature

When you open or create an emissions declaration scenario, under the Basic Information tab, there's a new section called Emissions Declaration Settings. This section allows you to set up the scenario so that the system automatically generates an emissions declaration once every chosen reporting period.

You can schedule an emissions declaration for a future reporting period, and you can also schedule one to be generated for a past reporting period with the start date set as early as the current date. Every change to the emissions declaration settings is reflected across all existing scenario revisions, and when you delete a compliance scenario, all the scheduling data is deleted along with it.

If you have pre-existing scenarios of the Emissions Declaration type in your system prior to the current release, this feature won't be automatically applied. To enable this function for such scenarios, you can select the Set Up Automatic Generation button to the right of the Emissions Declaration Settings section, and then the section will become available for editing.

Implementation Details

Authorizations

To access the Manage Compliance Scenario app to schedule emissions declarations, your user must have the following business catalog assigned: SAP_BR_EHS_ENV_MGMT (Environmental Manager).

Configuration

In your configuration environment, you can manage the menu options available in the Emissions Declaration Settings section using the following configuration activities:

  • Specify Reporting Period Types
  • Specify Recurrence Types for the Environmental Scheduler
  • Specify Contexts for the Environmental Scheduler

The following BAdIs are also available for developer extensibility:

  • Specify Recurrence Types for the Environmental Scheduler
  • Specify Contexts for the Environmental Scheduler
  • Schedule Jobs for Automatic Execution
  • Specify Reporting Period Types

Create and Manage Requests for Chemical Approval

Business Background

In today's dynamic and complex industrial landscape, companies are constantly innovating and expanding their operations to stay competitive. This often involves the introduction of new chemicals into manufacturing processes, laboratory experiments, and other industrial applications. While innovation is essential for growth, it also poses significant risks to worker safety and the environment.

Companies across various sectors, from manufacturing and pharmaceuticals to agriculture and research, frequently deal with a wide array of chemicals. These chemicals can range from benign substances to highly hazardous materials. The proper management of these chemicals is not just a matter of compliance with regulations, but also a critical component of sustainable and responsible business operations.

With the new release, you can create requests for the approval of a new chemical in your company as well as display and continue to work on existing requests as shown in above figure#1.

You can ensure that all safety and environmental considerations associated with chemical usage are thoroughly evaluated. This feature also helps prevent incidents by conducting expert safety assessments and involving the appropriate responsible personnel before any chemical is utilized within your organization.

This feature provides a work view which contains the compliance relevant information that is available for a given raw material or unpackaged product. This information is needed as part of a request for chemical approval. The work view is sectioned and grouped identically to chapters 1 - 9 of the safety data sheet.
