Advance shipment process in Service with Advanced Execution

Background

Service with Advanced Execution works based on integration of SAP S/4HANA Service with Maintenance Management. It generally involves a service order and an execution order item in the service order as the commercial object, which then creates a corresponding billable maintenance order for the execution.

This blog focuses on the process of advance shipment of components or spare parts from warehouse to customer consignment via billable maintenance order.

Prerequisite

The maintenance planner needs to ensure that the billable maintenance order is created and saved in the system.

Triggering advance shipment

• Launch transaction code IW32 to open the billable maintenance order in change mode.
• Enter the maintenance order number and press continue.
• Go to the tab Components.
• Select the relevant component and click on the Adv. Shipment button to start the advance shipment process.
• This will bring a popup as shown.

• Enter the sales order type which is relevant for consignment fill-up in the popup.
• Click on Continue.
• The system will now create a sales order of type consignment fill-up.
• Enter all the data that is required and check the incompletion log.
• Next click on the Back button.

• This takes the user back to the maintenance order page.
• Finally click on Save from the menu options.
• With this, a new system status Advance shipment occurred is set on the billable maintenance order.
• Also, the doc flow in the maintenance order will display the follow-up consignment fill-up order.

• At this moment, the stock overview displays a certain quantity in customer consignment.
• This can be seen using the transaction code MMBE.

Delivery and goods issue

• Launch the transaction code VA02 to open the consignment fill-up order in change mode.
• Enter the sales order number and click on Continue.
• Select the Deliver menu option.

• This will create an outbound delivery.
• Enter the quantity for picking and click on goods issue.
• With this, the outbound delivery document is saved and simultaneously the material document is created.

• Take a look at the stock overview again. The customer consignment quantity would be incremented by 3.

Release the maintenance order and consume the parts from consignment

• Launch transaction code IW32 to open the billable maintenance order in change mode.
• Click on Release and Save. 
• Launch the transaction code MIGO to create the goods issue.
• Select Executable action A07 Goods Issue and Reference document as R10 Other.
• Enter Movement Type and Special Stock Indicator as 261 and W respectively.
• Enter material TG11, quantity 2, enter the plant 1710 and customer as 17100001.

• Finally in the account assignment tab, enter the billable maintenance order number.
• Check the document and Post.
• This will create material document for consumption.

• We can see the new material document in the doc flow of billable maintenance order.

• Check the stock overview again.
• This time the customer consignment quantity would be reduced by 2.

• The cost is automatically attributed to the corresponding service order.

Thus, the process of advance shipment together with customer consignment is available with the Service with Advanced Execution.
