In SAP we have two different types of data namely:-
For any person who is working in the SAP should know about what is transactional data and what are master data. Because each of the module have different types of master data and different transactional data in SAP.
Master Data:-
The data which is created and cannot be changed frequently it means once the data is being created in the system then this data will be accessed frequently but the changes to this data will not being done.
Example:- Materials, Equipments, Functional Location, Permits, source list, Purchase info Record, Customer Info Record etc.. .
Transactional Data:-
The data which is created based on master data it means that this data will be created upon by using the master data components.
Example:- Notifications, Maintenance Orders, Work Order confirmations, Sales orders, Purchase Orders etc....
Master data Components in SAP Plant Maintenance:-
1. Functional Location:- we use Functional Location in SAP PM to identify where the technical object equipment is being installed. It is mainly used to prioritize the maintenance technician to find the equipment or machine that is being installed in a Plant.
Main components of functional location :- Structure Indicator , Edit mask, Hierarchy Levels
2. Equipment:- Equipment is one of the type of technical object in which we will create machines that are being used in production to manufacture the finished goods.
3.Serial Numbers:- Serial numbers is considered as master data as it means same specifications machines will be installed in the plant right so serial numbers is master data. And this is the point where the SAP PM integrates SAP MM(Material Management).
4. Work Center:- A group of people who are responsible for work is known as work center. Mostly in the naming convention will be ELECXXXX or MECHXXX. It means that the department with number convention is mostly being used in sap.
5.Bill Of Materials:- BOM is being used in various departments like production , sales etc... but when it comes to plant maintenance it is used as the materials that are needed to maintain the equipment or material that are being used in equipment reference purpose. 6.Maintenance Plan:- A plan is created which will generate the orders, notifications, Service Procurement etc.. based on scheduling parameters.
7. Catalogs & Code Groups:- It is a integration part in SAP PM with SAP QM. Catalogs Profile is given by the Quality Management team in which we have code groups. In Code groups they will maintain the object parts that are present in the equipment , cause and damage of equipment parts etc....
8.Measuring Points & Counter:- Measuring points and counter plays a crucial role in Equipments as they were used for maintaining the recording or readings of equipment after using them. For example : Micrometer, thermometer etc....
9.Task List:- The tasks that are being executed every time or else we can tell as like the tasks that needs to be performed are listed in a structured format.
There are 3 types of task list in plant maintenance namely
10.Material Master:- Material master is also considered as master data in sap pm because the materials that are required for maintaining the equipment or the materials.
11. Employee Master Data:- Employee master data in which the assignment of employee for technical object or else the assignment of employee for work center etc.. are being assigned and these employee id and employee creation will be done by human capital management system(HCM). This is an integration point where the module HCM integrate with PM.
Transactional Data:-
1. Notification:- Notification is created whenever any maintenance is required for equipment or malfunction is being held at an equipment. Then to notify the persons in the plant they will create the notification by using of master data.
2. Work Order/Maintenance Order: - The materials which are required for maintenance activities will be assigned here in the maintenance order. For cost collection purpose it means the activities or task that are being done by a maintenance technician will be collected here.
3. Confirmation: - The activities that are being carried out by the maintenance technician will be confirmed by the production supervisor or else the production department who is working at the machines or equipments.
4. Settlement Of Maintenance Order/ Production Order: - Generally this will be carried out by the FICO team but the settlement of an order can be done after performing the TECO or else the order cannot be settled. Here the settlement will be done against order otherwise the cost that are being collected in the maintenance order will not be posted to the cost elements. These cost elements will not post the costs to the g/l accounts which are present in the Finance accounts.
5. Measurement Documents: - These are the documents that keeps on changing whenever there is a use of equipments like PRT tools, or else any meters that are being used for checking the equipments. The values will be entered while performing the confirmation in IW41.
DATA UPLOAD SEQUENCE IN SAP:-
So for suppose you are working on the implementation project and wanted to upload the master data so we will just follow the below sequence, It is best sequence as per my knowledge.
Summary:-
In every SAP module, both master data and transactional data play a crucial role in executing business processes. Earlier, I explained these two types of data in detail for SAP Plant Maintenance.
For example, in the SAP MM (Materials Management) module, the master data includes elements such as Material Master, Source List, Purchase Info Record, Service Master, and Vendor Master. The transactional data in MM involves activities like Purchase Order (PO), MIGO (Goods Receipt), and MIRO (Invoice Verification).
Similarly, in the SAP SD (Sales and Distribution) module, the master data consists of Pricing Conditions, Sales Organization, Division, Sales Area, and Shipping Point.
In short, every SAP module has its own specific master and transactional data, which together ensure smooth and integrated business operations across the system.
