Content Studio Authorisations: use but not edit reusable blocks

Hi all,

I have the following requirement:

I want my users to be able to use reusable blocks,

But they should not be able to edit reusable blocks (to avoid people accidentally changing our template blocks).

Note: de-referencing is allowed. But not navigating to the reuse block and setting it to In Revision.

In the Maintain Business Roles, I tried a couple of different Restrictions, but either I have full access (so create and edit emails AND reusable blocks), or I have no access (so then I cannot even create emails).

I'm probably missing something obvious...

Because even the case described on https://help.sap.com/viewer/ac1eab4c66bc490da7ac2c378c46b0e7/2011.500/en-US/70fd1fb0ff794c7a823975dd... where a "User with restricted rights" would be able to only create emails from a template, I don't succeed in configuring my Business Roles in such a way either...

(Step 8 sais "Select the indicator for Templates and Messages for the marketing expert. You should only choose Messages for the user with restricted rights." but I do not see an indicator called Templates...)

Can someone help me out? 🙂

Hi Joyca,

I'm able to reproduce your issue.

In the Restrictions I can see and select "Templates" (value X) and/or "Messages" (value ' ') as value for Marketing Engagement Instances, but the following happens:

If I choose Messages AND Templates for the Marketing Engagement Instances, I'm able to create and change everything.

If I only choose Messages (like described in the Administration Guide) I cannot even create E-Mails...

Not sure if the system behavior is correct or if I'm also missing something obvious... maybe someone else can check or you should open an incident to ask for that.

You helped me see 1 thing I overlooked.

I was only looking at the "Content Type" restriction, I overlooked the "Marketing Engagement Instances" restriction.

I was able to make it work as described in the Administration Guide for the old email builder. Unfortunately not for the new one 😞

This is how to set the restrictions to make it work with the old builder by the way:

  • On the tab "Write, Read, Value Help":
  1. In Marketing Engagement Instances, only mark '' for Messages
  2. In Content Type, mark EM (and I also marked '' and EMD)
  • On the tab "Read, Value Help":
  1. In Marketing Engagement Instances, mark both '' and X
  2. In Content Type, mark EM (and I also marked '' and EMD

This user can in Content Studio create emails, but does not have the option "Blank Content" or "Upload File". Only existing and released email templates appears, that he can start from. He can also use reusable blocks, but he cannot edit the reusable blocks. But he can unlock the reusable blocks to personalize them in his email.

But, even though I marked EMD (for Email Lite) in the Content Type, this user is not able to see the Email Lite option.

I guess that is what they mean with this Restriction in the documentation:

Please note that the new editor for creating Emails Lite or Email Lite Templates is only available for marketing experts.

So a Marketing Expert is supposed to have both '' and X on the Marketing Engagement Instances.

Probably the new Email Lite cannot understand the authorisation object differentiation between message and template 😞

    thanks for clarifying. I only checked the new email editor...

    Good to know that it works, but hopefully SAP will extend that authorization also for Email Lite.
