Campaigns and Budget Planning

Hello together,

we have following scenario:

  • A budget plan exists with a budget for year 20118
  • The budget plan is assigned as a budget source to a marketing program
  • a campaign that is running over several years is assigned to the marketing program.

What would the (SAP-Standard) way after the year has finished and a new Budget plan for 2019 and a new marketing program for 2019 has been created:

a) Stop the campaign, make a copy and create a new campaign for 2019 anf assign the campaign to the new marketing program?

OR

b) Unassign the campaign from the old program and create a new one for 2019? Would the Actual Spend stay on the old program when assignning the campaign to a new program?


Our idea was to create a new program for every year and budget plan, as the budget source of the budget source for one year has to be assigned to the marketing program.

Moreover we would like to know under what conditions a campaign can be assigned to a marketing program besides of the check of the marketing area?

Hello Mr. Schultze,

Option 'a' would be the way to go since at the moment we do not support the use of budgeting (planned budget, funding source assigned to the program) for a program that crosses years. (we do support cross year programs without the use of budgeting, in other words you can plan campaigns and programs that cross years with appropriate planned spend/proposed spend, but those cannot be linked to a budget plan yet if they cross years)

  • May I suggest that you please request this feature using our customer influence tool https://influence.sap.com/sap/ino/#/campaign/38/ideas?campaign=38 , under Improvement Request Category Marketing Planning and Performance?

    We take our customers' requests very seriously and we look into improving our software by evaluating the requests in this tool and the number of votes each of them get.

In option 'b', the actual spend and planned spend is stored on the campaign and the not program, hence if you move the 2018 campaign to the 2019 program, the 2018 program will no longer see that campaigns spend/actuals. You will also not even be able to do that as you are not allowed assigning a 2019 funding source to a 2019 program that has campaigns with spend dates in 2018 and 2019. See next point.

For your second question,

If you are not using budget plans (funding source assigned on the program):

  • there is no limitation to how you can assign a campaign to a program (the campaign can be outside the program dates, and marketing areas can be different)

If you are using budget plans (there is a funding source assigned to the program):

  • since the budget is for a calendar year there are more restrictions, the program must be within the calendar year of the budget plan, and the campaign spend dates must be within the calendar year of the budget plan
