  • Changes to Appointment Notes in SAP Sales Cloud version 2

We want to inform you about an important update to the appointment feature in SAP Sales Cloud Version 2

Planned deployment date: April 26, 2025

What’s Changing?

We are introducing an enhanced Notes feature, which will replace the existing notes field with New Notes on the user interface (UI). This update allows for better organization and usability by enabling two distinct types of notes.

Key Benefits:

  • Note Differentiation – Separate internal comments from customer information notes for better clarity and management.
  • Expanded Character Limit – The previous 500-character limit has been removed, allowing for more detailed notes.
  • Outlook Syncing – Only customer information notes will sync to Outlook, ensuring internal comments remain private.
  • Customizable Note Types – Users can configure custom note types as per their specific needs.
  • Enhanced UI Experience – Notes will now follow a structured format similar to Visit/Account objects.

Impact on Existing Customers

This update includes a one-time migration of existing notes:

  • Existing notes will be moved to the internal comments section of the new Notes field.
  • API Path Change – If your integrations rely on the current API path, updates may be required.
  • Change History Tracking – The movement of notes will be recorded under the Change History tab for transparency.
  • Timeline – The new note will be considered an update and will appear in the timeline

Required Actions

If you have customized the Notes functionality, please review the following:

  • Business Role - Users must have this service sap.crm.service.noteService assigned to their business role to be able to use this functionality.
  • Adaptation/Personalization:
    • If any notes sections were hidden via adaptation or personalization, these settings may be impacted.
    • You may need to reapply changes through the adaptation screen.
  • Custom Validations, Determinations & External Hooks:
    • Settings → Extensibility Admin → Appointment Service
    • Any custom logic applied to the old notes field (e.g., validations, rules, or external integrations) will no longer work.
    • Please update the logic via:
  • Auto-Flow Rules:
    • Existing auto-flow rules based on the old notes/content field will not execute anymore.
    • You will need to update these rules to reflect the new Notes structure.

  • Changes to Individual Customer in SAP Sales Cloud Version 2

We want to inform you about an important update to the Individual Customer in SAP Sales Cloud Version 2

Planned deployment date: Last week of March 2025

 What’s Changing?

The Individual customer is being added to the Sales scope (previously this was limited to only those Sales loud V2 tenants which also had Service Cloud V2.)

  • With this we also added to the Individual customer details UI the corresponding sales functionality:

    • Ability to create appointment, lead, opportunity, quote, task for the Individual customer
    • Sales history tab with leads, opportunities, quotes
    • Activity history tab with appointments

This will be available in all those tenants which have SAP Sales Cloud Version 2 scoped.

 Key Benefits:

  • Adapts sales processes - to different customer needs, making it easier to handle both B2B and B2C interactions.
  • Direct engagement - with individual customers allows for better relationship-building

Impact on Existing Customers

In order to enable this users will need to be assigned the business service sap.crm.md.service.individualCustomerService to the relevant business roles to activate Individual Customers.

If some users already have visibility to the Individual customers today, then they may see the following changes in the details view:

  • Create options for – Lead, Opportunity, Appointments, Sales Quotes, and Tasks (currently only Case is supported)
  • Additional Tabs – New tabs for Sales History and Activity History (similar to what is already available in the Accounts)

Required Actions

If you have customized the UI layout for users who already use the Individual customers please review the following:

  • Adaptation/Personalization:
    • If any tabs are needed to be hidden via adaptation or personalization, these settings may be impacted.
    • You may need to reapply changes through the adaptation screen.

Next Steps

We recommend reviewing your configurations ahead of the rollout to avoid disruptions. If you have any questions or require assistance, please reach out to the support team.
