DownLoading Existing Employee Data PA & OM from SAP System

Hi Seniors,

My client wants to down load the existing PA & OM data from the SAP system to Excel sheet for some administrative work purpose.

Now i dont exactly have any idea how to down load the existing data from the SAP system.

Can anybody please guide me on the same,any t-code or report if available for the same.

hope you are doing good.

Yes its possible to download SAP Table data into Excel format.

If you are in Table view you can find export to local file option, you will find small arrow button in green which will ask to export to kind of format u require like RTF, XLS etc.

else in a more simpler way go to Menu in any SAP Screen and SYSTEM Tab --> LIST ---> SAVE

Pls revert back if you more info with a Table name for eg

Thanks for the update,I want the complete master data-PA & OM to be transported to EXL.

Almost 75 employes data i need to capture into excel sheet.

Any to code where i can take all employees into account and download all there relevant Infotype Information into 1 excelsheet,is it possible.

I was just going through the OM & PA standard report-S_AHR_61016360 - HR Master Data Sheet,but when i download the dat in the EXL sheet the entire dat is messed up,i tried saving it through TXT as well but the result is same,data messedup.

Please update.

Its very simple once you run the report you can find the download options then try to download it into excel and save it.

Hi 09,

This is where your MS Excel skills comes into foray,

Yes, SAP is consultancy business , accepted , but to make it better work for us,

We need addon skills like MS Doc , MS Excel , MS Access, because we are working on huge employee data,

and it needs to be sorted , filtered, arranged and shaped according to our requirement.

So What I suggest is , download your Report how big is it may be, sit wit somone who is good at MS Excel ,

ask him to sort it out by filtering.

This is how we do while working with huge employee database, like Payroll Data with all the infotypes data.

Hope I sound sane and right for your query.

If you are really looking for more easy on the shelf solution, you can any Third Party solution as there are lot in marktet,

who sell these kind of products but they come with a price attached.

Thanks for the updates as per our guidance i think the data would be eassily converted to EXL but i have to play around the excel to make it better,so report S_AHR_61016360 - HR Master Data Sheet will be fine.

Hi,

now my client has dropped the idea of having all the data through 1 exl sheet,

i have to dowload the information of the 75 employees infotype wise say:- 75 employees-0000- 1 sheet, 0001-1 sheet,0002-1 sheet.

So how can i download data infotype wise for the desired number of employees.

Requesting you all to guide me on this as i have to update the client on this.

Use Tcode : SE16N , give infotype name ie if 0001 give like PA0001 and u can check or uncheck the fields you dont want.

Hi,

Use Tcodes

PAR1

PAR2

Both are employee flexible Reports.

Go to PAR1 Tcode there find Further Selection tab from above and field selection from Additional data which is below accordingly. select the necessary fields and execute. Just play around with it you will get clear idea.

Here we can extract the data based upon the fields selected.

Downloading infotype data for each employee is quite clumsy, better use this report especially par1 T code, which will extract the data based upon the fields selected.

HI SapUser,

Your inputs seems helpful,but now the User wants the data Infotype wiase say-

for every Infotype 1 Exel file,0000-1 excel file,0001-1 excel file,0002-i excel file like this.

Means i have total set up of 19 Infotypes,so alltogether 19 files with the relevant Infotype related data of all the 75 employees.

Can you please guide me what is the T-Code for downloading the employee informations Infotype wise that would be helpful.

This PAR1 seems to be bit tricky for the user.

Please guide me on the same.

Use Tcode SE16N

There in field Table give the infotype number by prefixing PA at the beginning.

Ex-( For 0001 infotype u need to give PA0001 in the table. Now execute for 75 employees for organisation assignment infotype. if u want to execute for one employee give employee number in Personnel no. field and now execute(F8). like that u extract reports for all infotypes by taking 75 employees.

now coming to report, you will get a list wise report. now go to export icon ( which will be just above the list). Click it, it will show different options. select local file. now select spread sheet. it will ask for the path save the document in that location. now open the excel sheets and remove the unwanted tabs and make a clear document. save it in Excel Workbook xlsx format .
